FERPA (schools and education)

Last updated: 17 October 2026

In short

  • Schools and colleges can use LiveChatBot to answer questions from students, parents and applicants.
  • If education records reach us through the chat, we treat them as the school’s data: only used to run the chat, never sold or used for ads.
  • The chat is not a records system. Keep grades, transcripts and other detailed records out of chats.

The Family Educational Rights and Privacy Act (FERPA) is a United States law that protects the privacy of student education records at schools that receive U.S. Department of Education funding. This page explains how LiveChatBot works for those schools. Coaching centres and schools outside the U.S. may find it a useful guide too.

1. Our role

When a school uses LiveChatBot, any personally identifiable information from education records that appears in chats is handled on the school’s behalf. We act like a “school official” with a legitimate educational interest, under the school’s direct control of how the data is used:

  • We only use it to provide the chat service to the school.
  • We do not sell it, use it for advertising, or build profiles of students.
  • We do not pass it to anyone else, except the providers listed on our Sub-processors page who help us run the service, or when the law requires it.
  • When the school deletes a website or closes its account, we delete the data as described in our Data Processing Addendum.

2. What the school should do

  • Use the chat for general questions: admissions, timings, fees, events, how-to help.
  • Don’t ask for or share grades, disciplinary records, health information or ID numbers in chat. Point people to your official secure channels instead.
  • Give chat access only to staff who need it, and remove staff from the Team page when they leave.
  • Think before switching on the AI Agent: chat text is then sent to our AI provider to write replies. Keep your AI knowledge base to public information.

3. Parent and student requests

Requests to inspect or correct education records go to the school. If we receive one directly, we forward it to the school. Schools can ask us to export or delete chat records by emailing support@livechatbot.in from the account address.

4. Related laws

Students’ privacy may also be protected by other laws, such as COPPA in the U.S. for children under 13, the GDPR in Europe, or India’s Digital Personal Data Protection Act. See our GDPR and Privacy Policy pages. LiveChatBot is not meant for use by children under 13 without a parent or school managing the account.
